FACILITIES ADMINISTRATOR

 

Salary: £28,079.10 per annum

Working Hours: Permanent, Full Time, 40 hours per week, Monday to Friday between 8:30am and 5:30pm

Location: Manchester Magistrates Court, Manchester, M60 1PR

 

Are you a proactive, hard working administrative professional with a "can-do" attitude? G4S Facilities Management  are looking for a Facilities Administrator on a full time, permanent basis, working Monday to Friday at Manchester Magistrates Court.

 

In this key role, you will drive compliance across all administrative and portering KPIs. You will lead the court Portering and Administrative teams, proactively refining systems and procedures to enhance our performance and reporting. Ultimately, your administrative and operational support will be a key driver in the smooth and successful operation of the account.


 

Core Responsibilities :

 

  • Responsible for all contract-related administration, ensuring seamless alignment between site operations and client requirements

  • Oversee the end-to-end management of court Porters and Admin Staff, including Attendance Management, Disciplinaries, recruitment, vetting, performance, development and appraisals. To ensure service provision is in line with contractual KPI’s and agreed Procedures.

  • Responsible for Suppliers (non-Maintenance) including H&S and Procurement compliance and performance monitoring.</p>

  • Manage payroll process for all personnel, ensuring the accurate recording, calculation, and authorisation of overtime in line with budgetary constraints.

  • Conduct disciplinary investigations and manage staff performance standards as required.

  • Produce comprehensive monthly HR, CAFM, and H&S statistical returns.</p>

  • Responsible for undertaking focused team audits (including other teams), behavioural checklists and H&S Tours</p>

  • Chair the Health & Safety Committee, manage COSHH registers, and oversee incident investigations and bi-monthly reporting</p>

  • Attend Monthly Performance Meetings and take minutes, field actions arising. Manage and monitor complaints

  • Exceptional office administration skills and experience with proven ability to streamline office operations, manage complex filing systems, and maintain meticulous digital records to support business continuity

  • Proven track-record in staff management, fostering a high-performance culture through mentorship and clear direction.

  • Exceptional communication and influencing skills, with a focus on building cross-functional relationships.

  • Strong organisational capabilities with a systematic approach.

 

Desirable

  • Workforce, Kronos, Success Factors, Agency Software

  • Understanding of PFI Contracts and relationships

  • IOSH
