G4S Patient Transport Services (PTS) is one of the UK’s largest Non-Emergency Patient Transport providers, carrying out over 50,000 journeys on behalf of the NHS every year. About the Role
As a Workforce Planning and Scheduling Administrator, you will provide administration support to the effective and efficient service of the Workforce Planning and Scheduling Team across G4S Patient Transport Services (PTS).
Some of the key responsibilities for this role are;
- Responsible for administrative support to the day-to-day operational shift and resourcing management, including assisting with payroll
- Administer systems in conjunction with the operation to ensure contracts are fully compliant, are current in all reporting platforms and that service delivery is met
- Provide a full administrative service so that the needs of the functional/departmental team are met.
- Maintain effective work systems, ensuring that all correspondence and documentation is dealt with in a professional manner and meets audit requirements.
- Support with DBS and management of other recruitment checks, forms, activities and verifications
- Organise and minute take where requested for specified meetings. Produce and confirm minutes with the Chairperson and subsequently distribute as necessary.
- Maintain comprehensive stocks of all forms and documentation required by the function/department so that it is available when required.
- Responsibility of procuring stock orders and maintaining stock administration
- Handling, processing and managing frontline service call activities
- Collate, produce and distribute regular and ad-hoc statistics and reports so that individuals and departments receive accurate up to date information.
- Deal with all routine queries so that an appropriate response is provided.
- Collate and distribute information and reports as required to relevant functional departments.
- Provide the Management and the Team with any additional requests for support.
- Assist in the promotion of creating a positive Health & Safety culture, this includes reporting accidents and near misses in a timely manner following the applicable safe systems of work for the role.
- Participate and support in the initial recruitment process for Ambulance Care Assistants ensuring where needed all relevant processes have been completed.
- Ensure all field based resourcing schedules are available in Cleric with a minimum of six months planned within the system working along the Workforce Planner and Scheduling Manager in support of this activity.
About you
The successful candidate must have strong administration skills, excellent organisational and time management skills with the ability to manage competing priorities.
Excellent written and verbal communication skills are a must, as well as working proactively as part of a team and using your own initiative. You must be able to demonstrate the ability to work to tight deadlines, maintain confidentiality, have the ability to prioritise workload, maintain high levels of accuracy and challenge where necessary.
