 HMP Five Wells in Wellingborough is setting the standard for new build prisons of the future, using forward-thinking design and technology.  The Prison is the UK’s first purpose-built, peer-led resettlement Prison. A one of a kind new generation category C new build Prison for the future; HMP Five Wells is an integral part of the local community.

 

G4S Care & Rehabilitation Services (CaRS) successfully manages 4 prisons, one secure training centre and a number of community contracts in England and Wales. The philosophy of our prisons is to rehabilitate offenders and equip them to re-integrate into mainstream society on release. We seek to normalise prison conditions as far as possible to reflect life in the outside community. Our aim is to create an environment in which staff and prisoners feel safe.

 

 We are looking for a dynamic individual to join our Facilities Management team based at HMP Five Wells to work as part of the onsite Estates & Facilities team.  With excellent organisational skills you will ensure all aspects of contractor administration are up to date and deadlines are met by managing your workload effectively and efficiently.

 

 Key Responsibilities:

  • Manage own workload to ensure that  timescales are met and the Five Wells Contractor Email system is kept up to date
  • Update and maintain individual contractor documentation including but not limited to - Insurance, Risk and method statements, training records and other documentation.
  • Complete and maintain the Permit to work, authority to work and other permit documentation is prepared prior to allowing contractors onsite.
  • Liaise with the health and safety department to ensure all documents conform to current legislation.
  • Book contractors on to site to ensure the completion of reactive and planned maintenance.
  • Plan workload effectively to ensure that deadlines are met
  • To run reports on a daily basis and to work closely with team leaders/site supervisors/site managers and all members of the facilities team to ensure that documentation is completed effectively, correctly and on time.
  • Contribute to company objectives by meeting own performance objectives.
  • To be involved with sub-contractor contracts using all processes and systems already established.
  • To maintain the site filing system and be fully compliant with all aspects of the HMPPS baseline files and how the system works.
  • To have a good understanding of the site's operational requirements and knowledge of what priorities need to be applied.
  • Provide admin support to the FM team.
  • Develop effective relationships with all customers, colleagues, sub-contractors and clients.
  • Adapting to change well in an evolving business.
  • To ensure compliance at all times but in readiness for the numerous audits we encounter.
  • To undergo any training as and when required.
  • Assist in the promotion of creating a positive Health & Safety culture across the site leading by example, this includes reporting accidents and near misses in a timely manner & follow the applicable safe systems of work for the role.

The Ideal Candidate:

Essential Skills:

  • Experience within an FM environment.
  • Excellent Organisational skills
  • Good communication skills and the ability to handle issues of high sensitivity
  • A good administration background services.
  • Good Team working.
  • Ability to work to tight deadlines and targets.
  • Excellent communication skills both verbal and written.
  • Good working knowledge of Microsoft office and or google suite of documents.

 

Desirable Skills:

  • Resilient and able to work well on own initiative while under pressure, meeting tight deadlines while balancing a number of priorities.
  • Working knowledge of CAFM Systems
