Salary : £26,250.00 - £27,250.00 per annum

Permanent, Full Time  (37.5 hours per week)

We now have an opportunity for a Administrator to join our team at Bridgend. 

 

Key Responsibilities

  • Act as a first point of contact ensuring visitors are booked in appropriately and receive a friendly and efficient service on their arrival and when exiting the establishment.
  • Undertake a variety of reporting functions across the service so that interaction between the prisoners and the service is captured and reported on, helping to demonstrate performance. This includes data entry, case note completions and other performance reporting processes.
  • Support the team with data recording, photocopying and general administrative tasks
  • Respond to phone calls appropriately and efficiently
  • Assist with data collection using spreadsheets and web based case management systems
  • Managing functional mailbox, dealing with enquiries and forwarding messages to the relevant person and/or service in a timely manner
  • To maintain and update databases in a timely manner, ensuring collaboration takes place with internal departments, where required
  • Manage the assessment process and allocation of prisoners, ensuring data is captured and recorded accurately and within relevant timescales
  • Responsively distribute key information across teams enabling rapid intervention and support so that prisoners are safeguarded and risks are managed effectively and efficiently.
  • Support the Data Manager by Contributing to the preparation of data for monthly and quarterly reports in a timely and accurate manner.
  • Assist with purchasing processes, ordering supplies and monitoring stock
  • Distribute information to all team members as required including Information Bulletins, team meeting agendas/minutes and changes to policies etc.
  • Work flexibly to maintain the most appropriate level of service provision. There may be occasional travel to provide cover at other sites and for training and administration meetings.
  • Participate in training and supervision processes
  • Receive referrals ensuring relevant information is shared with appropriate services and allocated case workers and managers.
  • Arrange and support meetings as required, including note taking
  • Undertake other duties appropriate to the grade of the post.

The ideal candidate for this role will be an experienced Administrator and therefore must be able to demonstrate the ability to work to tight deadlines, have a keen eye for detail, have the ability to prioritise workload.  Excellent written and verbal communication skills are a must, as well as working proactively and using your own initiative. It is key that you are flexible and adaptable to deal with ever-changing scenarios and able to remain calm under pressure.  The role requires an individual with excellent IT skills and a good understanding of data protection and GDPR requirements.
