Permanent - Full-time (37.5 hours per week)

This is an integral role within our criminal justice substance use services within Gwent. The role is full time, and includes a 3 day reception function within our Blackwood base, welcoming and creating a warm environment for  individuals accessing clinical and psychosocial support.

 

 In addition, the role provides administrative support for the team. This includes managing referrals, maintaining databases and providing    reports, and also taking calls and responding to emails from our people accessing the service, colleagues and partner agencies.

 

You will work closely with other G4S/GDAS administration teams and demonstrate a commitment to continuous development and improvement, working collaboratively with all partners to provide best practice

 

Key Responsibilities

  • Act as a first point of contact ensuring visitors receive a friendly and efficient service and all calls and visits are dealt with promptly and courteously.
  • Engage with people as they are accessing our services, showing a genuine interest in wellbeing, and promoting respectful, engaging relationships.
  • Support the team with data recording and general administrative tasks.
  • Act as the Single Point of Contact for the main phone number and deal with calls efficiently.
  • Supporting the case management team with drug testing (following training), issuing appointments, noting behaviour change and sharing concerns with colleagues with any signs of distress in those who access our service.
  • Assist with data collection and reporting using spreadsheets and web based case management systems.
  • Managing the functional mailbox, dealing with enquiries  in a timely manner.
  • Screening referrals to ensure suitability and liaising with partners as identified.
  • Allocate referrals when suitability has been confirmed( within 24 hrs), updating case management systems
  • Contribute to the preparation of data for monthly and quarterly reports
  • Assist with purchasing processes, ordering supplies and monitoring stock.
  •  Ensure  the premises are secured properly at the end of the working day
  • To carry out regular security checks on panic and fire alarms
  • Responsible for reporting maintenance of the building
  • Assist in carrying out Health and Safety  audits and  responding to recommendations
  • Distribute information to all team members as required including Information Bulletins and changes to policies etc.
  • Work flexibly to maintain the most appropriate level of service provision. There may be occasional travel to provide cover at other sites and for training and administration meetings.
  • Participate in training and supervision processes.
  • Arrange and support meetings as required, including note taking.
  • Undertake other duties appropriate for the role


The Ideal Candidate:

You will have a professional attitude with a strong and flexible work ethic. Your good communication skills will assist you with working as part of the team and at times working alone.

 

With an ability to keep calm under pressure and effectively manage your time, IT skills are a must together with experience of Google and Case management systems.

 

You must be willing to respond flexibly to the needs of the service and have a full UK driving licence and access to your own transport.
