Salary: £27,322.93 per annum
Working Hours: Permanent, Full Time, 40 hours per week, Monday to Friday
Location: Churchill Hospital, Oxford, OX3 7LE
G4S Facilities Management is looking for a reliable Soft Services Administrator to be the administrative heart of our team at Churchill Hospital. You will be the essential link between our Domestic, Portering, and Catering departments, ensuring everything runs like clockwork.
Working closely with the Heads of Services, Health & Safety, and our Performance Manager, you will keep the records and systems up to date that allow our frontline teams to succeed. Core Responsibilities :

Team Support & Coordination: Act as the administrative hub for the Domestic, Portering, and Catering teams, providing high-level administration support to Service Heads and Performance Managers.</p>

Compliance & Safety Management: Maintain vital records including Health & Safety documents, COSHH folders, and the staff Training Matrix to ensure the site remains safe and compliant.</p>

Operational Systems: Manage daily tasks on the CAFM system, track service failures, and close down audit rectifications to maintain high star ratings across hospital wards.

Financial Administration: Oversee the end-to-end Purchase Order process from raising orders to verifying deliveries to ensure seamless invoicing and stock management.

Data & Reporting: Collate and distribute accurate reports, meeting minutes, and briefing papers that allow the leadership team to make informed operational decisions.</p>

Logistics & Personnel: Coordinate staff uniforms and PPE distribution, conduct weekly stock takes, and support the recruitment process by preparing formal HR packs.</p>

Meeting Management: Schedule and assist in the preparation for training sessions and meetings, ensuring all agendas and presentation materials are ready
