CONTRACT OPPORTUNITY CO-ORDINATOR

G4S PATIENT TRANSPORT SERVICES (PTS)

Hybrid - home based with occasional travel to London and the Kent & Medway area</span>

£38,000 - £40,000 per annum dependant on experience

Full Time, Permanent, Monday to Friday

About the Role

The Bid and Pipeline Coordinator is responsible for supporting and co-ordinating the end-to-end bid process to secure high-value contracts with NHS Trusts, Integrated Care Boards (ICBs), and private healthcare partners.

 

This role involves coordinating the full tender lifecycle—from initial opportunity tracking, to assisting in "bid/no-bid" analysis to the final submission of high-quality, clinically safe, and commercially viable proposals.

 

Some of the key responsibilities for this role are;

  • Bid  Management: To support the full bid process from bid kick-off through to submission, ensuring all milestones are met and driving internal stakeholders are held accountable for their contributions - being the central point of co-ordination and control.
  • Bid Co-ordination: Schedule, support and where appropriate manage bid kick-off meetings, working sessions, and reviews, maintaining the bid plan and key milestones, driving the bid process, track and manage clarification questions, including logging, coordinating inputs and approvals and uploading bids to the portal.
  • Bid Quality: Manage bid documentation, ensuring documents are current, compliant, correctly formatted, and that superseded materials are archived. Support in the completion and coordination pre-qualification questionnaires, compliance documentation, and formatting support as required.
  • Content Generation: Support in review, editing, and creating persuasive, high-quality responses for Pre-Qualification Questionnaires (PQQs) and Invitations to Tender (ITTs).
  • Strategy & Win Themes:</span> Manage the development of clear "win themes" that align G4S Technology, innovation, and service capabilities with specific client needs and NHS long-term plans.
  • Pipeline Management: To actively monitor the PTS market to identify future opportunities and risks and competitor activity. Update Salesforce in line with G4S corporate requirement. Monitor all procurement portals for opportunities and submit all bids via the portals.
  • Strategic Vision: Contribute to the long-term strategic vision and Goals for growing PTS.
  • Commercial Alignment: Alongside the commercial modelling lead, ensure the bid modelling team accounts for the specification requirements and aligns with operational costs within each bid.
  • Knowledge Management: Create and maintain and expand the "Bid Library" of standard company information, clinical safety standards, and case studies.
  • Governance: Ensure that all submissions undergo documented rigorous internal reviews and meet legal, regulatory (CQC/MHRA) compliance standards before submission and support in the organising RIC, ICC and Board meetings and associated paperwork.
  • Post-Submission: Support in the preparation for bidder presentations/interviews and conduct "lessons learned" reviews for both successful and unsuccessful bids.

About you

To excel in this role, you must be a dynamic and engaging individual with significant experience in a similar position covering high level administration and co-ordination with strong analytical and problem-solving skills.

 

You must have excellent organisational and time management skills with the ability to manage competing priorities and attention to detail.

 

Excellent written and verbal communication skills are a must, as well as being able to demonstrate the ability to work to tight deadlines, maintain confidentiality, have the ability to prioritise workload, maintain high levels of accuracy and challenge where necessary.
