SERVICE FUNCTION PROFILE – TRANSPORT CO-ORDINATOR Purpose: To be responsible for ensuring vehicles are maintained / serviced as per the clients guidelines, kept clean and in a serviceable condition and are available for operational duties Main Responsibilities

  Maintain a service schedule ensuring that vehicles are safety inspected and serviced in accordance with guidelines. 
 Book vehicles in for servicing utilising Transport Services Branch systems and deliver vehicles at appointed time. 
 Transport vehicles to and from the clients workshops and external garages for repairs and servicing.
 Carry out weekly inspections of fleet vehicles and take appropriate diagnostic and corrective action. 
 Provide detail to District/Department as directed of vehicles available for operational use. 
 Check and top up oil and fluid levels. 
 Check vehicle equipment, e.g., first-aid kits and fire extinguishers and replenishing as necessary. 
 Monitor tyres and wheels for damage/wear and arranging replacement through Transport Workshops, as necessary. 
 Wash vehicles and clean and vacuum interiors. 
 Respond to breakdowns and/or organising breakdown repairs. 
 Maintain petrol usage records and completing petrol returns on a monthly basis, this would include where applicable supervising the delivery of bulk fuel to sites. 
 Ensure radio functionality is maintained and arrange repairs as required. 
 Change punctured tyres. 
 Ensure vehicle log books and any relevant records systems are maintained and updated as appropriate. 
 Maintain in a tidy condition any garages. 
 Take care of / maintain an adequate stock of vehicle consumables and accounting for stock. 
 Ensure that equipment, e.g., portable power packs are maintained. 
 Undertake other miscellaneous duties periodically, e.g., assisting with the transport and placement of traffic cones, collecting and delivering of items and liaising with contractors with regard to the maintenance of equipment. 
 Dependent on operational demand perform duties in other locations. 
 Provide customer service 
 Complete administration procedures ref vehicles including were applicable fuel cards 
 Maintain a record management system for maintenance of vehicles 
 Input, present and retrieve data using a computer connected with role. 
 Review, retain and dispose of records and information 
 Process incoming telephone calls 
 Organise and record meetings – fleet vehicles 
 Participate in meetings – Fleet vehicles 
 Manage and support diary events 
 Gather and disseminate information pertaining to fleet to support police vehicle mobility for operational duties 
 Liaise with external private and public bodies in the course of their operational duties e.g. private mechanical repair businesses and PONI. 
 Make best use of technology 
 Maintain standards of professional practice 
 Maintain standards for security of information 
 Comply with Health and Safety Legislation (including responsibility for identifying within their area of responsibility any risk and taking reasonable risk mitigation actions to protect themselves and other employees)

 Care and maintenance of ancillary stock and associated vehicle maintenance equipment

The Ideal Candidate
Applicants must possess a full valid driving licence (including categories C & D) and have access to a car suitably insured for business use. 
 Must be in good health and have a good level of physical fitness to cope with the demands of the role 
 Secondary Level education to a minimum of GCSE or equivalent level, grade level C or above in Math’s & English 

Have an aptitude for attention to detail and the maintenance of accurate records; 
 Demonstrate a strong customer focus in delivering services. 
 Previous experience in automobile / motor vehicle mechanical work 
 Basic skills in IT, Microsoft Word, Outlook etc.
 Good oral and written communication skills; 
 An aptitude for attention to detail and the maintenance of accurate records; 
 The ability to remain calm and focused within a pressurised environment; 
 A strong commitment to delivering excellent customer service; and 
 The ability to work as part of a team. 
 Problem solving skills 
 Ability to work on own initiative
