As a Shared Services Specialist, you will be responsible for the administration of the payroll and billing function for the area/branch offices.  This includes administering and maintaining office financial information, procedures, policies, and day-to-day management of office administration with a specific focus on Accounts Receivables and Payables. This position will effectively communicate with employees, field management, customers and vendors, and work closely with the regional support team and to ensure ongoing contract compliance. The Shared Services Specialist will also manage the daily management of all fixed assets, uniforms, and equipment assigned to the local area office and ensure that fixed assets, uniforms and equipment are disposed of in accordance with G4S policies and procedures as well as vendor relations for the office and provide operational support to both the District Manager and Market Vice President as needed.

Role Responsibility:

Specific Duties and Essential Functions

  • Ensure accurate entry and posting of weekly labor and non-labor items into payroll system
  • Research and review payroll discrepancies and submit corrections via Human Resources Information System (HRIS) as applicable
  • Run weekly reports to ensure proper validation of payroll, to include audit of weekly hours, overtime pay, non-labor items, and non-billable hours
  • Audit pay rates, bill rates, non-labor billing and other items relating to contract requirements
  • Manage all vendor payments, office purchase orders, order office supplies, and equipment
  • Create and manage customer job information in both client files and via PeopleSoft
  • Audit vendor invoices; ensure proper coding of accounts and vendor information; and ensure appropriate levels of approval for the amount of the expenditure
  • Manage and assist in the collection of any past due invoices
  • Assist other departments on special projects or as needed
  • Upload invoices into vendor system
  • Research and review billing discrepancies and submit corrections by working with the billing department


The Ideal Candidate:

Education, Licenses and Certifications Required

  • Must possess a high school diploma or equivalent
  • Must possess one or more of the following:
    • Associate’s Degree in Finance, Accounting, Business, or a related degree combined with at least 1 year of office administration experience to include direct payroll/billing/invoicing experience
    • High School diploma or equivalent combined with at least 2 years of office administration experience to include direct payroll/billing/invoicing experience

Type and Length of Specific Experience Required

  • Prior work experience in a fast paced administrative environment with competing priorities
  • Work experience to include demonstration of:
    • Proficiency in Microsoft Excel and Word; and in automated payroll applications such as the PeopleSoft Human Resources module
    • Knowledge of and experience with time and attendance tracking
    • Administration of inventory, maintenance, purchasing, and control of fixed assets
    • Excellent skills in mathematics, reading comprehension, and oral and written communication
    • Working knowledge of the Fair Labor Standards Act (FLSA) and other employment related laws
    • Ability to clearly read, compile, and interpret business reports; and use extrapolated data to track expenses and asset purchases
    • Administration of established payroll reconciliation, supply management, and client/vendor/facility financial relationship goals
