The Compliance Administrative Assistant is responsible for tracking and maintaining employee files and training for our customers served by G4S. This position provides direct support to the Management Team and performs clerical duties to include: Answering phones, photocopying, mail distribution, filing, data entry, handling confidential information, and coordinating special projects. The Administrative Assistant will perform a wide range of administrative and general support duties of a highly responsible and confidential nature

Role Responsibility:

Specific Duties and Essential Functions

  • Onboarding and Offboarding employees, retaining training rosters and data
  • Maintain state licensing compliance as directed to include; Issuing ID’s and keying training and licenses into HRIS.
  • Act as liaison between client and employee regarding implementation of policy and procedure
  • Maintain administrative and various office files including personnel files, client files, etc. according to company policy; Ensure compliance with EEO guidelines; Facilitate year end reporting per corporate direction to ensure compliance; Respond to outside audits as necessary;
  • Client Contact Management; Enter new clients into the PeopleSoft system; Keep system updated, setup and review non-labor items for each client
  • Payroll/Labor Scheduling; Assist as requested to complete payroll in a timely manner; Coordinate with operations staff to facilitate timely completion of payroll
  • Human Resources/Recruiting/Hiring; Post positions as requested, manage ATS process including applicant flow and hiring process, manage workers comp process including year-end reporting, process new hire paperwork, process terminations, and provide reports 
  • Organize, coordinate, and negotiate rates of travel arrangements
  • Assist with other duties as required

The Ideal Candidate:

Education, Licenses and Certifications Required

  • Must possess a high school diploma or equivalent

Type and Length of Specific Experience Required

  • Must possess a minimum of two (2) years of administrative experience in a fast-paced, diverse business environment
  • Must possess demonstrated knowledge with Microsoft Office applications and Google Suite, specifically Microsoft Excel and Google Sheets
  • Must possess the ability to perform tasks using office management technology including mobile devices, PDAs, Outlook, Google Drive, SharePoint, Quantum, Citrix.
  • Work history must include demonstration of each of the following:
    • Analytic and critical thinking skills
    • Ability to prioritize workload based on urgency
    • High level of competency with advanced computer systems

  • Must be at least 18 years old or the minimum age required by the state, if higher
  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
  • Subject to a drug screen to the extent permitted by law
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Environment:         Office; no exposure to extreme temperatures is expected

Major activity:        Working on PC while sitting; telephone use

Physical efforts to carry out job duties:  Limited, to include some standing, bending, limited stretching and reaching
