As a Scheduling Specialist, you will be directly responsible for the communication, dispatching and/or scheduling various levels of field security personnel/security officers for regular weekly contractual service hours and service requests/changes provided by G4S Secure Solutions National Communications Center and G4S customers.  This position includes maintenance of schedules in G4S Labor Scheduling System and the oversight of data entry in the Labor Scheduling System.

Role Responsibility:

Specific Duties and Essential Functions

  • Proactively communicate and confirm scheduling posts, shifts, and scheduled times
  • Correctly map and maintain a schedule on a weekly basis
  • Communicate with the Ops managers, clients, site supervisors, area supervisors, and flex officers on a consistent basis to ensure overall satisfaction and efficiency with G4S and the operations team
  • Create Master Schedule
  • Create three-week schedule look ahead and one-week locked schedule
  • Identify accurately number of open positions
  • Provide assistance to the General Manager and Operations Manager in monitoring non-billable overtime
  • Coordinate OJT (on the job training) for Officers with Site Supervisors, Account Managers, and Clients
  • Schedule and manage call offs and vacation requests for the employees
  • Work with Area Supervisors (Territory Manager/Ops Manager) to address any overrides/errors that need to be addressed
  • Data entry in the G4S Labor Scheduling System
  • Dispatch service requests to field supervision
  • Provide response to G4S National Communications Center with resolutions to schedule/service requests
  • Provide assistance to customers, employees, and visitors in a courteous and professional manner


The Ideal Candidate:

Education, Licenses and Certifications Required

  • Must possess a high school diploma or equivalent

Type and Length of Specific Experience Required

  • Must possess one or more of the following:
    • Minimum of one year of experience in a related position with insight into site scheduling (call center, dispatch or command/control center, shift supervisor)
    • Minimum of one year of prior experience with workforce scheduling software applications
  • Prior work experience in a fast-paced administrative environment
  • Work history must include:
    • Excellent organizational skills that include the ability to multi-task and prioritize work
    • Strong consultative, analytical and problem-solving skills
    • Ability to communicate effectively with leadership

  • Ability to assess and evaluate situations effectively

  • Must be at least 18 years old or the minimum age required by the state, if higher
  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
  • Subject to a drug screen to the extent permitted by law
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Environment:         Office; indoor with minimal to no exposure to extreme temperatures expected

Major activity:        Working on PC while sitting; telephone use
