Role Responsibility:

The Proposal Writer develops, writes and responds to Requests for Information/Proposal/ Quote (RFI/RFP/RFQ) for submission to large prospective and current clients in response to specifications. Additional responsibilities include preparing presentations based on previously submitted proposals and responding to follow-up requests, The Proposal Writer works with key internal and external stakeholders to coordinate timely and professional responses.   The Proposal Writer will also write some internal and external communications on behalf of the Communications team.

Specific Tasks and Responsibilities

  • Write proposals using the input obtained from all sources in a concise, responsive, logical fashion while ensuring that the information provided complies with the specifications
  • Analyzes the requirements of an RFP and decides what information needs to be included in the proposal
  • Coordinates with field offices and Headquarters departments to determine how to further develop appropriate responses
  • Conducts any additional research that is required to develop the responses
  • Disseminates proposals for clients by required deadlines; provides necessary copies to field offices, Managers of Business Development and Head office staff
  • Plans and prepares proposal content
  • Coordinate and submit follow up responses throughout bid process


The Ideal Candidate:

  • Analyzes the requirements of an RFP and decides what information needs to be included in the proposal
  • Coordinates with field offices and Headquarters departments to determine how to further develop appropriate responses
  • Conducts any additional research that is required to develop the responses 
  • Disseminates proposals to clients by required deadlines; provides necessary copies to field offices, Managers of Business Development and Headquarters staff, in the requested format
  • Plans and prepares PowerPoint presentations for previously submitted proposals 
  • Coordinates and submits follow up responses throughout bid process

Ideal Candidate

  • High school diploma or equivalent with a minimum of 2 years of experience in proposal development, presentation design, sales and/or marketing support
  • Post Secondary Education in English, Advertising, Marketing, Communications, or business related major
  • Work and/or educational history must demonstrate strong writing skills in a time sensitive environment
  • Demonstrated capacity to manage multiple projects at once
  • Prior contract security-related experience, preferably in a multi-location environment  
  • Experience in copywriting, editing, design, publishing (Asset)
  • Experience with Salesforce or other CRM system (Asset)
