The Payroll Coordinator establishes, maintains, and reviews the schedules of the staff at a client location. This position matches available staff to posts, minimizes avoidable overtime, maintains master schedules within scheduling software, updates weekly schedules, and processes all weekly time sheets. The Payroll Coordinator will also work with officers to complete payroll discrepancies, respond to schedule changes and client requests, input information into the automated resource system, and analyze time records that directly affect time keeping and billing.

Role Responsibility:

Specific Duties and Essential Functions

  • Maintain working and master schedules within scheduling software; update weekly working schedules as needed
  • Ensure weekly time sheets are accurately input into scheduling software; make corrections as needed in a timely manner; input employee’s time daily
  • Complete Payroll Discrepancies immediately once notified by employee
  • Meet with Employees to resolve any issues pertaining to scheduling
  • Update all Payroll Information related to bill rates, pay rates and special billing codes
  • Notify Site Managers of any major issues or inaccuracies pertaining to scheduling


The Ideal Candidate:

Education, Licenses and Certifications Required

  • High school diploma or equivalent

Type and Length of Specific Experience Required

  • Must possess one or more of the following:
    • Minimum of one (1) year of experience in a related position with insight into site scheduling (call center, dispatch or command/control center, shift supervisor)
    • Minimum of one (1) year of prior experience with workforce scheduling software applications

Skills Required

  • Proficient computer skills including Microsoft Office
  • Effective oral and written communication skills
  • Active listening skills
  • Ability to assess and evaluate situations effectively
  • Ability to identify critical issues quickly and accurately
  • Attention to detail

Other

  • Must be at least 18 years old or the minimum age required by the state, if higher
  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
  • Mist possess Proficient skills in Microsoft Office, scheduling, and payroll applications
  • Must not use illegal drugs. Must be able to pass a drug test with negative results (except when undergoing documented medical treatment).
  • Must submit to an extensive background check, including criminal history, personal references, employment and education verifications, and Department of Motor Vehicle and credit checks if applicable
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment:    Office; minimal to no work in extreme temperatures is expected

Major activity:    Working on PC while sitting; telephone use

Physical efforts to carry out job duties:    Limited, to include some standing, bending, limited stretching and reaching.
