As an Operations Support Generalist, you will be responsible for supporting the District Managers and their respective customer portfolio within their assigned branch. This includes administering and maintaining office financial information, procedures, policies, and day-to-day management of office administration with a specific focus on assisting the District Manager and their customer portfolio. This position has several responsibilities based on the size, legal requirements and account structure for the specific market.
The Operations Support Generalist is also responsible for submitting all contractual change requests/orders to the OTIS (Opportunity To Invoice Site) team in a timely manner to ensure both accurate and updated information prior to release. The Operations Support Generalist has the responsibility to assist the centralized team(s) when required in any disputes or correction so invoices are paid on-time and in full. This position will effectively communicate with employees, field management, customers and supplier, and work hand in hand with the District Manager(s) to ensure ongoing customer contract compliance.
The Operations Support Generalist will also have responsibility for the daily management of all fixed assets, uniforms, and equipment assigned to the local area office and ensure that fixed assets, uniforms and equipment are disposed of in accordance with G4S policies and procedures. They will also be the key contact for all vendor relations for the office and provide operational support to both the District Manager(s) and Market Vice President as required.

Role Responsibility:
Specific Duties and Essential Functions
Equipment Inventory Management:
- Maintain an accurate inventory log of items currently in stock at the location, as well as the uniforms and equipment given to each officer; hold accountability to employees who are issued uniforms and equipment; oversee employees’ return of uniforms and equipment once their employment with G4S has ended
- Communicate equipment, uniforms, and fixed assets that are deemed unusable or in need of repair to the Operations Support Manager
- Dispose of uniforms and equipment that are no longer serviceable as advised by the Operations Support manager
- Order equipment and uniforms and maintain the necessary inventory to ensure operational efficiency and continuity
- Respond to requests from field personnel to exchange damaged or worn equipment
- Maintain a list of all phones that are assigned to the area office
- Ensure that radios (and all electronic equipment) are functioning properly; repair and replace as needed
- Ensure that weapons are managed, inventoried, shipped, issued, and retrieved from employees in accordance with company policies and procedures
Fleet Management:
- Maintain current listings of all vehicles assigned to an area office and generate a monthly status report for the Director of Operations/General Manager/District Manager/Market VP; immediately report any anomalies
- Ensure all vehicle forms and maintenance forms are properly documented and maintained
Accounts Payable:
- Process and manage vendor payments, ensuring accuracy of vendor invoices per agreement
- Budget and manage financial spread sheets that relate to tracking expenses and asset purchases
Payroll:
- Weekly Payroll Transmissions, generate reports, update and conduct Payroll briefing; provide guidance and assistance as applicable
- When corrections are needed, ensure timely entry and liaise with Corporate Payroll to ensure payment to the employee
- Generate reports, update and conduct payroll briefing, review of weekly contract reconciliation to address variance, audit pay, bill and non-labor items
Vendor Relations:
- Establish and maintain vendor relations with outside equipment, maintenance and facilities and building management
Contract Audits:
- Completed as required with defined follow-up to manage contract billing issues; revise data as needed and not when audit is due
- Ensure contract compliance are done quarterly per the G4S Way of Operations
Capture of Billable Assets:
- Review assets through W68 and Revenue & Expense (R&E) journal, contract reconciliation and non-labor reports
- Ensure action plans are developed weekly to correctly capture billable assets in contracts
- Review recurring charge report for expiring charges and take action to extend billing where required
Daily Review Meeting (DRM):
- Attend DRM and capture action items and plans for mitigation of issues
Local Cost Management:
- Actively manage costs(uniforms, supplies, margin attainment, rate increases, vehicles) and meet or exceed budget/plan
Accounts Receivable:
- Ensure reports are printed, analyzed, and clients are contacted as appropriate for past due invoices
- Ensure billing accuracy
- Coordinate efforts with Regional Director, Financial Planning & Analysis to assist with cash flow
The Ideal Candidate:
Education, Licenses and Certifications Required
- Must possess one or more of the following:
- Associate’s Degree in Finance, Accounting, Business, or related degree with a minimum of one (1) year of office administration experience to include direct payroll/billing/invoicing
- High School diploma or equivalent with a minimum of two (2) years of office administration experience to include direct payroll/billing/invoicing
Type and Length of Specific Experience Required
- Must possess experience in a fast-paced administrative environment requiring prioritization
- Work experience to include demonstration of:
- Proficiency in Microsoft Excel and Word and in automated payroll applications such as the PeopleSoft Human Resources
- Knowledge of and experience with time and attendance tracking or labor scheduling software
- Administration of inventory, maintenance, purchasing and control of fixed assets
- Excellent skills in mathematics, reading comprehension, and oral and written communication
- Working knowledge of the Fair Labor Standards Act (FLSA) and other employment related laws
- Ability to clearly read, compile and interpret business reports and use extrapolated data to track expenses and asset purchases
- Administration of established payroll reconciliation, supply management, and client/vendor/facility financial relationship goals
- Ability to interpret and counsel operations on various key operational metrics
