Job Introduction:

  • G4S Secure Solutions (SA), a leading provider of integrated security management solutions, has a vacancy for an Operations Manager based at Lesotho reporting to the Regional Operations Director.  


    The successful incumbent is a self-starter with a proven track record in maintaining company policy, adopting best practices, and is able to exercise sound judgement in the pursuit of the achievement of the goals of the organisation, and understanding the role which Operations Manager plays within a successful business unit. The incumbent will be expected to be results driven and to live the values of the organisation.


    The position requires at least 5 years’ experience within a similar environment. Relevant industry related experience would be advantageous.


Role Responsibility:

Effective Management of the Operations Financial Performance

Initiate cost saving model and controls
Gross Margin Management

  • Direct Wage control / Labour management

  • Contract profitability , 

  • Financial and Asset management 

  • Ensuring that claims against the Company are prevented or minimized through regular customer risk assessments.

Existing Revenue Growth

Effective Management of Staff  within Region

Effective Organization

  • Staff turnover analysis, proper allocation of staff to positions and structure.

  • Attendance of subordinates at scheduled training interventions 

  • Determine training needs and where necessary recommend training to be conducted to meet customer requirements.

  • Analyze the suitability of training in the workplace.

  • Develop subordinates to improve their skills.

Leadership

  • Staff motivation levels

  • Ensuring that performance assessments of all subordinate employees are conducted Bi-Annually, and corrective action implemented where necessary.

  • Ensuring that acceptable standards of behavior at work are maintained by all subordinate employees, as required by G4S’s code of conduct and disciplinary code.

  • Ensuring that all disciplinary actions are conducted in compliance with Company policies and procedures.

Human Resources

  • Ensure a nominal roll of all employees is kept up to date.

  • Check pay queries and where necessary and correct  them 

  • Ensure all your subordinates have valid employment agreements and Job Descriptions and that they understand their role and function.  (All performance assessments will be based on the contents of the Job Description).

  • Ensure security officers act according to the customers’ requirements.  Consult with HR Manager where assistance is needed.

  • Ensure that personnel have done training courses required, for current and future duties.

  • Ensure new security officers are inducted to meet the requirements of the new tasks.  A file for all induction forms must be kept for audit purposes.

  • Maintain strict discipline on all sites

  • Conduct disciplinary hearings, appeals and grievances according to the Company Disciplinary Code.

  • Manage sick reports, leave and overtime. 

  • Monitor absence due to sickness and where necessary take appropriate action according to Company guidelines.

  • Carry out health and safety assessments according to Company policies.

  • Ensure that Health and Safety meetings are conducted on a monthly basis, and chair the Health and Safety meeting.

  • Attend to injuries on duty.

  • Develop and sustain an employee communication forum.

  • Ensure constructive staff interaction.

Effective Management of Operations

Client retention and customer service levels

  • Prevent and Minimize contract loss that is as a result of poor service delivery

  • Ensuring that all required formal customer meeting are scheduled, attended and minuted. 

  •  All CSA’s must be conducted on a monthly basis and a tracker should be in place for internal audit purposed.

  • Conduct Formal Client Meetings as per KPI”S set 

Quality Management/Ops Process management – adherence to quality standard, i.e Site Files, Risk Assessments, Site Standard

  • QA audit results and operational matrix to ensure that operational minimum standards/requirements are met

  • Ensure that QA Audits are conducted on all sites and Corrective Action Implemented and tested for efficiency 

Shared Best Practice

  • Specific examples of implementation of BP from other regions

Ops Process management – adherence to quality standard

  • Ensure that Operational Compliance is adhered to at all times e.g Site Surveys, Site Requirements, Site Equipment, Site Audits

  • Monitor Supervisory Visits and implement corrective action where necessary

  • Ensure that Monthly Reports are submitted to the Director for Secure Lesotho & Clients where applicable.

  • Ensure that absenteeism is minimized within established norms.

  • Ensure that manpower is maintained at optimum levels, to minimize unnecessary overtime.

  • Ensure that only appropriately trained and PSOB registered security personnel are utilized at all times.

  • Ensure that claims against the Company are prevented or minimized through regular customer risk assessments and appropriate controls 

  • Ensure effective labour management and rostering 

  • Liaison with regards to invoicing, accuracy of such and securing payment

  • Perform security audits and submit the reports as required

  • Schedule work to meet agreed plans, contracts and agreements in a cost effective manner

  • Manage the smooth day-to-day running of the relevant sites/contracts to ensure profitability.

  • Ensure Site Instructions and emergency plans are in place according to customer requirements.

  • Conduct investigations of crime scenes.

  • Conduct investigations of all claims against the Company.

  • Follow up on all reported incidents.

  • Check Guard Monitoring systems take necessary corrective action.

  • Ensure Site Instructions and emergency plans are adhered to.

  • Determine risk and operational preparedness on the relevant sites.

  • Review requirements for a quality security service on sites and recommend improvements

  • Ensure all Company assets are accounted for, properly handled, safeguarded and maintained.

  • Conduct regular vehicle and equipment audits to Ensure they are in good working order

  • Monitor all Operational Vehicle movement and put controls in place where necessary

Effective Management of Business Development Function

New business development

  • Identifying new business opportunities in the region’s sphere of operations, as well as in terms of growth of business with existing customers, driven by the promotion of integrated security solutions.

Competitors evaluations

  • Demonstrate a thorough understanding of the competitor environment faced by the business.

Managing and shaping the external environment

  • Involvement in community and business forums and general public profile

  • Development of sales strategy specific to the country, through analysis of the unit’s business profile, products and services available / required, existing customer base, resources and competitors.

  • Identification of potential new business opportunities through consultation and cooperation with Sales management, planned prospecting, leads, cold calling, tender notices.

  • Arrange and conduct meetings with new and existing business prospects, in conjunction with Sales management where appropriate, to market G4S integrated security solutions.

  • Conduct / arrange site surveys to identify risks and develop appropriate solution to meet customer needs.

  • Arrange and coordinate submission of sales proposals / tenders to prospective customers. Where necessary, in collaboration with the Sales Department, prepare and conduct sales presentations.

  • In consultation with the Financial Manager, ensure that annual contract escalations of existing customers are finalized.

Health and Safety

  • Participate in the design/ development/ review/ implementation and monitoring of the departmental safety plans for each year

  • Participate in safety forums created by the company for example safety meetings and safety talks

  • Report all safety incidents to the relevant people

  • Discuss all safety incidents

  • Follow-up on any activities assigned through safety meeting/committee/representative/management

  • Attend safety education and refresher programs

  • Comply with safety policies and procedures at the workplace

  • Distribute safety information as and when required

Qualification and Experience

  • Related qualification 

  • COSC or equivalent
