Job Introduction:

The position will perform day to day administration task required for the Information Technology (IT) department and assist in the asset management processes for the whole company


Role Responsibility:

KEY PERFORMANCE AREAS

1. Effective administration of IT Invoices and Procurement process.

● Consolidation of monthly invoices received

● Manage procurement process from the IT Department, including the tracking, follow up and feedback on deliveries and items ordered

● Follow up with 3 rd party vendors with regards to procurement, and escalate as required.

● Vendor and product analysis – 1 st line

● General administration relating to filing, etc.

2. Effective SLA Administration

● Process any documentation with regards to SLA contracts

● Maintain SLA contract database

● Follow up on SLA requirements and provide feedback as needed

3. Administrate and control an effective communications function

● Maintain Telkom database

● Manage office equipment contracts

● Ensure monthly billing received, paid and allocated

● Communicate the product and service requirements to potential suppliers

● Conducting supplier analysis to ensure cost effectiveness

● Ensure quality assurance processes exist per key supplier

● Implement and maintain standardized maintenance services for communications assets

● Implement all new requirements

● Analyse and explain major variances actual to budget on a monthly basis

● Ensure expense mandates follow audit procedures

4. Effective administration and management of IT office

● General administration

● Co-ordinate and arrange all relevant meetings and workshops

● Control filing of documentation

● Handle all incoming and outgoing mail/courier services

● Co-ordinate and control telephone calls

5. Health and Safety

● Participate in the design/ development/ review/ implementation and monitoring of the branch/region/national safety plans for each year.

● Participate in safety forums created by company for example safety meetings and safety talks ● Report all safety incidents to the relevant people

● Discuss all safety incidents on all levels

● Follow-up on any activities assigned through safety meeting/committee/representative/management

● Attend safety education and refresher programmes

● Comply with safety policies and procedures at workplace

● Distribute safety information as and when required

● Wear protective clothing all the time

Qualification

  • Any relevant qualification but its a part of the requirements

● A minimum of 3 years experience in similar role

● Must have experience in vendor management, invoices, quotes, meeting setups, great attitude, great communication skills, very hard worker, team player
