An opportunity has arisen for an Employee Services Administrator in our HR Shared Services team, based in our Thornaby-on-Tees office. 

This is a permanent position that will report into the Employee Services Team Manager, with a focus on providing an accurate, efficient and consistent administrative function.

This role will ensure all integrity with the system data and being flexible and adaptable. It will involve mainly administration activities including interacting with external stakeholders. This role is focused on deploying candidates to vacancies swiftly and promptly minimizing any possible delays and complexities.

Job Responsibility 

The position Holder is responsible for administrating and coordinating deployment of workforce personnel by creating and building terms for the new employees and casual workers for the SSUKI business. The role will also interact with the workforce to ensure that new candidates will be scheduled for training (if applicable) which includes arranging travel and accommodation. 

  • Ensuring that all personal employee details are entered and maintained on the system when the employee has passed screening. 
  • Creating and building employees on the workforce systems, enabling all new employees to be scheduled once all HR compliance activities have been concluded. 
  • Entering personnel details into the workforce systems ensuring that all contractual terms and conditions are created for the new employees joining the business promptly within strict SLAs and KPIs. 
  • Assisting with dispatching workforce contracts to employees upon commencing of employment 
  • Effective stakeholder management with the wider resourcing and operational teams, resolving issues and escalations in relation to deployment complexities and blockages. 
  • Supporting the licensing team process all license applications promptly within accurate time frames (Including renewals) coupled with ensuring all central mailboxes are responded too and actioned within agreed SLA time frames. 
  • Supervising the issuing of Licence Dispensation Notices (LDNs) are done inline within contractual obligations.
  • Actively look to improve and innovate the current way we process and build our employees & casual workers with a view to speeding up the deployment process
  • Engaging with external training providers and liaising with the training function to ensure front line officers are suitably booked on training for the specific role they are preforming including hotel booking and transport booking to enable the officers to get to the scheduled. 
  • Actioning and issuing LDNs and supporting with applications when required during high/busy times and reallocating resources within the function to meet site demand.
  • Maintenance of all training documentation for employee build purposes and reviewing all current on boarding documentation for the wider business.

  • 5 years checkable work history 
  • Unrestricted right to work in the UK/EU 
  • Fluent written and spoken English Specific skills required 
  • Good level of computer skills, database, excel. 
  • Demonstrate good communication skills at all levels of management and employees 
  • Demonstrate the ability to manage resistance to change 
  • Focus on working collectively with team members 
  • Previous administration experience in on-boarding or resourcing 
  • Highly motivated and determined, with the ability to be resilient and confident with all client groups 
  • Demonstrate the ability to understand business processes and their purpose, with an understanding of the security industry and its practices
