As a Communications Officer, you will serve as the main point of intake, dissemination, and escalation of information and issues as reported by employees, contractors, and outside agencies. During the time of disasters or special events the Communications Officer will handle the real-time dissemination of information and serve as the main point of contact. The main duties are writing reports, answering and screening phone calls, updating tracking spreadsheets, issuing and checking radios, and dispatching. The position is responsible for reporting to security management, supervisors and shift leads.

Role Responsibility:

Specific Duties and Essential Functions

  • Receive and process all telephone calls into main dispatch and switchboard
  • Acknowledge and act on all alarm initiating signals
  • Act as track control during track operation hours
  • Confirm Insurance information for contractors
  • Contact required departments for alarms/power bumps or other issues
  • Contact vendors for snow and ice removal as noted in the Inclement Weather Policy as necessary
  • Contact and arrange shuttle runs
  • Dispatch hot work requests
  • Issue and check radios, vehicle kits & access badges to authorized personnel
  • Issues Safety locks to Team Members as authorized
  • Mail run; receive incoming mail and distribute it appropriately
  • Maintain property passes and issue incoming passes as required
  • Manage fire suppression requests and contacts
  • Monitor all track operations during drives in-house and emergency radio traffic, dispatch as needed; monitor Weather Reporting System and respond as detailed in the Inclement Weather procedure; monitor Intrusion Detection Systems
  • Open locked doors when authorized
  • Perform all dispatch – normal and emergency conditions
  • Perform audit functions on badge request forms
  • Process badges (temporary, visitor, smart) for all team members and contractors, through the access control system
  • Process camera passes, handicap parking tags, Personnel Action Forms (PAF), property passes, shippers, vehicle site passes
  • Review track requests for proper information and test procedures
  • Schedule orientations according to set schedule
  • Operate Public Address System
  • Verify check road request and assist with scheduling
  • Monitor Weather Data System
  • Monitor and responds to window traffic
  • Perform other tasks and duties of a similar nature and scope as assigned

The Ideal Candidate:

Education, Licenses and Certifications Required

  • High school diploma or equivalent

Type and Length of Specific Experience Required

  • Must possess a minimum of two (2) years of customer service experience

Skills Required

  • Proficient computer skills including Microsoft Office and/or Google Applications
  • Effective oral and written communication skills
  • Active listening skills
  • Ability to assess and evaluate situations effectively
  • Ability to identify critical issues quickly and accurately
  • Attention to detail


  • Must be at least 18 years old or the minimum age required by the state, if higher
  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
  • Must not use illegal drugs. Must be able to pass a drug test with negative results (except when undergoing documented medical treatment).
  • Must submit to an extensive background check, including criminal history, personal references, employment and education verifications, and Department of Motor Vehicle and credit checks if applicable
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment:  Indoor and outdoor, temperature ranges from moderate to extreme cold and heat

Major activity:  Office environment, writing reports, disseminating information, customer service, speaking, listening, observing.

Physical efforts to carry out job duties: Standing, walking, and sitting. Minimal to no stooping or kneeling.
