As a Clock Room Administrator, you will you will provide advanced administrative support, detailed research and analysis to a high-profile client’s executive team.  You will perform duties normally associated with an executive assistant and office manager – including coordinating executive communications, answering phones, responding to inquiries, both internal and external, as well as general administrative support for department events, meetings, trainings, supply ordering and inventory maintenance.  Areas of support include Field Operations, Public Affairs, construction planning and Human Resources.

The Clock Room Administrator must work well under pressure and be capable of handling emergencies.

Role Responsibility:

Specific Duties and Essential Functions

  • Provide administrative support to client’s leadership team
  • Coordinate executive communications for client VP and other team members
  • Answer phones, take messages, respond to questions, direct inquiries and greet visitors
  • Support in resolving and communicating external/customer escalations
  • Support in monitoring local municipal agendas, emergency response/preparedness, media/social media, and other sources for issues of interest to client
  • Support with internal escalations and questions between departments
  • General administrative support for department events, meetings, supply orders and miscellaneous requests.
  • Complete detailed professional written reports for dissemination to management team
  • General support for client Departments, Initiatives and Projects

The Ideal Candidate:

Education, Licenses and Certifications Required

  • Must possess a high school diploma or equivalent

Type and Length of Specific Experience Required

  • Must possess a minimum of one (1) year of experience in a corporate work environment
  • Work history must demonstrate ability to handle emergencies and work well under pressure

  • Proficient computer skills including Microsoft Office
  • Effective oral and written communication skills
  • Active listening skills
  • Ability to assess and evaluate situations effectively

Physical Requirements and Environment

Environment:         Office, minimal to no exposure to extreme temperatures

Major activity:        Working on PC and using telephone/radio while sitting

Physical efforts to carry out job duties:      Standing, walking, and sitting. Minimal to no stooping or kneeling.
