As a Billing and Collection Specialist, you will be responsible for creating project numbers into PeopleSoft for project tracking and billing purposes. Position will be responsible for recurring monthly invoice production for Strategic Account projects for management and billing purposes, open billable events into the accounting software, maintenance of tracking sheets for financial purposes, and providing support to the Field Directors. Additionally the position requires ongoing collection efforts for all clients as well as documenting payment updates and working closely with internal financial support departments, serving as a liaison. Other duties include providing basic support for accounts receivable and payable for strategic accounts including entering requisitions for purchase orders, scanning and filing, reviewing the aging account receivables regularly and sending notifications to client, while providing support service to the Manager, team Leads and Business Development and Administrative Director. Other duties may include:

  • Preparation of quotes, invoices and other financial documents
  • Prepare accurate communication via email to employees, Directors, and clients
  • Assist with shared drive
  • Maintaining Excel spreadsheets
  • All other duties assigned

Role Responsibility:

Specific Duties and Essential Functions

  • Identify and communicate daily all actionable items in order to support project management, billing and invoicing to provide necessary documentation in support of client needs 
  • Provide timely communications and actionable information to Manager and Director in order to maintain revenue forecasts, purchase order funds and accounts receivables
  • Create and assign project numbers and complete data entry regarding revenue and associated costs, generate invoices based on specific client requirements and submit to client
  • Establish relationships with internal and external partners to assist clients and Field Directors to closely manage billable projects to ensure monthly expenses and revenue match; act as liaison for finance and Corporate Risk Services
  • Manage accounts receivables for Strategic Accounts and collaborate with internal and external customers to receive or apply payments; follow up with collection efforts for accounts in arrears.
  • Prepare accurate communication via email to employees, Directors, clients, and vendors
  • Assist with maintenance of documents in the shared team drive
  • Ability to assist with administrative, billing or operational duties as needed

The Ideal Candidate:

Education, Licenses and Certifications Required

  • Must possess a high school diploma or equivalent
  • Must possess one or more of the following:
    • Associates’ degree in criminology, criminal justice, political science, international studies, national security, business, accounting, finance or any other related field
    • High School diploma or equivalent with a minimum of three (3) years of relevant military, government, security industry, or corporate experience in finance, administration, or project management

Type and Length of Specific Experience Required:

  • Work history that demonstrates strong intermediate to advanced Microsoft Office skills, specifically Excel

  • Must be at least 18 years old or the minimum age required by the state, if higher

  • Subject to a drug screen to the extent permitted by law
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment:         Office; indoor with minimal to no exposure to extreme temperatures expected

Major activity:        Working on PC while sitting; telephone use
