As an Administrative Support Specialist, you will assist with issuing out badges, checking the access control service for accuracy and uniformity, inputting new hire information and vehicle information, and renewing badges. This position will assist with administering the parking policy in a consistent manner, issuing parking hang tags, temporary parking passes, parking citation notifications, and checking the access control service for accuracy and uniformity of parking and vehicle information.

Role Responsibility:

Specific Duties and Essential Functions

  • Administer badging, passes, and visitor control procedures, including but not limited to vendor, visitor, customer, long term construction, special event and tour badges; ensure all corporate policies are adhered to as well as comply with all Americans with Disabilities Act (ADA) parking guidelines and with all Department of Defense regulations
  • Maintain and update employee information in access control service
  • Respond to parking exception requests in a timely manner and provide approvals that comply with policy; send parking exception requests that fall outside of policy to management for review and approval
  • Support other client sites with parking and vehicle registration questions
  • Maintain hang tag/decal inventory to ensure adequate supplies are readily available
  • Work with specialized software applications and reports, while maintaining the integrity and confidentiality of information; ensure all non-US Citizens have a completed Foreign National Employment Approval Request prior to issuing photo badge
  • Monitor the operation and maintenance of the access control, photo Id badge integrated security systems
  • Issue ramp passes and grant ramp badge swipe access
  • Manage a comprehensive filing system and appropriate documentation when issuing contractor
  • Conduct systems design research and submit recommendations; perform periodic system functionality testing
  • Maintain up-to-date working knowledge of department policies, procedures and best practices to assist in administering the Corporate parking and badging policies; work with facilities on parking projects and department moves.
  • Assist with the visitor request process.
  • Provide support off-site with badge printing

The Ideal Candidate:

Education, Licenses and Certifications Required

  • High school diploma or equivalent

Type and Length of Specific Experience Required

  • Must possess a minimum of one (1) year of experience in a corporate work environment
  • Work history must demonstrate each of the following:
    • Proficiency in Microsoft Office Suite; Excel, Word, Notes, and PowerPoint.
    • Experience with Microsoft Outlook
    • Experience with Adobe Acrobat
    • Effective communication skills.
    • High level organization and multitasking skills
    • Ability to handle multiple projects at a time

  • Must be at least 18 years old or the minimum age required by the state, if higher
  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
  • Must not use illegal drugs. Must be able to pass a drug test with negative results (except when undergoing documented medical treatment).
  • Must submit to an extensive background check, including criminal history, personal references, employment and education verifications, and Department of Motor Vehicle and credit checks if applicable
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment:    Office, minimal to no exposure to extreme temperatures

Major activity:    Working on PC and using telephone/radio while sitting

Physical efforts to carry out job duties:    Standing, walking, and sitting. Minimal to no stooping or kneeling.
