Role Responsibility:

Specific Duties and Essential Functions

  • Update SOPs with oversight from Project Manager and assistance from Training Specialist
  • Maintain data and records following client Record Retention guidelines and requirements
  • Makes recommendations on managerial methods in order to improve workflow, simplify reporting procedures or implement cost reductions
  • Maintains operating practices, such as recordkeeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to create new systems or revise established procedures to maximize efficiency of operations
  • Coordinates collection and preparation of operating reports to include PTO, new hires, resignation, and audit reports 
  • Prepares reports including conclusions and recommendations for solutions of administrative and/or audit problems 
  • Act as department liaison with corporate offices


The Ideal Candidate:

Education, Licenses and Certifications Required

  • High school diploma or equivalent

Type and Length of Specific Experience Required

  • Must possess a minimum of two (2) years of experience in administrative support functions
  • Work experience must demonstrate each of the following:
    • Strong knowledge of office operations (payroll, billing, payables and receivables)
    • Strong managerial skills
    • Working knowledge of card access, security and safety systems
    • Strong analytical skills needed to analyze complex data and develop reasonable analysis, appropriate conclusions and/ or innovative solutions
    • Confidentiality and discretion of information
    • The ability to work autonomously
    • The ability to solve practical problems and carry out responsibilities under general supervision

  • Proficient computer skills including Microsoft Office and/or Google Applications
  • Effective oral and written communication skills
  • Active listening skills
  • Ability to assess and evaluate situations effectively
  • Ability to identify critical issues quickly and accurately
  • Attention to detail

  • Must be at least 18 years old or the minimum age required by the state, if higher
  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
  • Must not use illegal drugs. Must be able to pass a drug test with negative results (except when undergoing documented medical treatment).
  • Must submit to an extensive background check, including criminal history, personal references, employment and education verifications, and Department of Motor Vehicle and credit checks if applicable
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment:         Office; minimal to no exposure to extreme temperatures is expected

Major activity:        Walking, standing, speaking, listening, observing, computer usage

Physical efforts to carry out job duties:  Limited, to include some standing, bending, and limited stretching and reaching.
