Job Introduction:

As an Administrative Assistant, you will be responsible for administrative support to the Executive Vice President and Directors, for Corporate Risk Services. Responsibilities include making travel arrangements and changes to itineraries for all employees and management under CRS, managing expense reimbursements, hosting conference calls, monitoring email for notification of changes to ongoing events with the Directors, assisting with SalesForce entries, formatting and reviewing presentations, reports and documents. Other duties include providing basic support services for the Field Directors, overseeing catering for meetings, and providing support to the Business Development & Administrative Manager. Other duties may include:

  • Prepare accurate communication via email to employees, Directors, and vendors
  • Assist with shared drive
  • Assist with staffing as needed
  • All other duties assigned

Role Responsibility:

Specific Duties and Essential Functions

  • Identify and communicate daily all actionable items in email in order to support business development activities and provide necessary support to the Field Directors to assist with delivery of client needs
  • Travel and expense reimbursements for entire Business Unit including review and approval
  • Marketing liaison and assisting with the creation of presentations, report templates, and formatting of documents
  • Conference/meeting scheduling, securing room, and including but not limited to audiovisual set up; overseeing catering; preparation of meeting agenda/notes
  • Establish relationships with internal and external partners to assist clients and Field Directors to closely manage billable projects to ensure monthly expenses and revenue match
  • Prepare accurate communication via email to employees, Directors, clients, and vendors
  •  Salesforce data maintenance/Weekly Activity Report assistance
  • Assist with maintenance of documents in the shared team drive
  • Ability to assist with administrative, billing or operational duties as needed

The Ideal Candidate:

Education, Licenses and Certifications Required

  • Must possess one or more of the following:
    • Associate’s degree in criminology, criminal justice, political science, international studies, national security, business, accounting, finance, or any other related field
    • Minimum of three (3) years of relevant military, government, security industry or corporate experience

Education, Licenses and Certifications Required

  • Must possess work history that demonstrates intermediate PC and Microsoft Office skills (specifically PowerPoint)

  • Proficient computer skills including Microsoft Office
  • Effective oral and written communication skills
  • Active listening skills
  • Ability to assess and evaluate situations effectively
  • Ability to identify critical issues quickly and accurately
  • Attention to detail


  • Must be at least 18 years old or the minimum age required by the state, if higher
  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
  • Must possess each of the following:

  • Subject to a drug screen to the extent permitted by law
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment:  Indoor; minimal to no exposure to extreme temperatures is expected

Major activity:  Sitting, speaking, listening, observing; computer and telephone use

Physical efforts to carry out job duties:  Sitting. Minimal to no stooping or kneeling.
