Role Responsibility:

Specific Duties and Essential Functions

  • Perform clerical and administrative duties including typing, proofreading and editing documents, correspondence and reports for assigned department
  • Compose and initiate correspondence and memoranda
  • Enter date from various report sources into spreadsheets, verifies input and calculations
  • Assist manager in developing and preparing reports and presentation material
  • Maintain efficient filing system and ensure quick retrieval of requested documents
  • Screen telephone calls and visitors
  • Take accurate phone and verbal messages and ensure that messages are delivered in a timely manner
  • Maintain confidentiality on sensitive information or issues
  • Schedule and maintain calendar of appointments
  • Assist with departmental human resources functions (payroll and new hire orientation)
  • Provide daily rain gauge flow meter updates to HSE
  • Maintain time and attendance records for all security personnel
  • Support in building and maintaining schedules for all security personnel
  • Support in the order and delivery of uniforms and equipment
  • Maintain current rosters of contact information and security officers' license expiration dates
  • Maintain adequate office supplies for daily security operations
  • Maintains all training (security) and badging records

The Ideal Candidate:

Education, Licenses and Certifications Required

  • Must posses a high school diploma or GED
  • Must possess a current and valid state drivers license
  • Must be able to obtain and maintain all required state security licenses

Type and Length of Specific Experience Required

  • Must possess two or more years of experience performing administrative duties in a security environment
  • Work history to include all of the following:
    • Strong interpersonal skills for inter-departmental and customer interaction
    • Above average verbal and written communication skills, with a good vocabulary, good grammatical skills and attention to detail
    • Computer skills including proficiency with Microsoft Office (Word, Excel, PowerPoint)
    • Ability to use advanced department-specific software packages (Labor Scheduling)
    • Must have the ability to handle many diverse tasks simultaneously and be able to work effectively with interruptions
    • Demonstrate ability to handle confidential or sensitive information or issues

  • Proficient computer skills including Microsoft Office

  • Ability to assess and evaluate situations effectively
  • Ability to identify critical issues quickly and accurately
  • Attention to detail


  • Must be at least 18 years old or the minimum age required by the state, if higher
  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
  • Subject to a drug screen to the extent permitted by law
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment: Office; minimal to no exposure to extreme temperatures is expected

Major activity: Working on PC and using telephone/radio while sitting

Physical efforts to carry out job duties: Limited, to include some standing, bending, limited stretching and reaching.
