Job Introduction:

The Regional Administrator provides ongoing administrative support to the Director of Operations in enhancing operational efficiencies and customer service at the regional  airports.  Based in Kelowna International Airport, this position works closely with the Regional Managers and their management teams, oversees data collection and management, in addition to general administrative responsibilities. The position also supports various projects, initiatives, and systems.

Role Responsibility:

Major reponsibilities, but not limited to:

  • Provide the Regional Operations Management team in that area with ongoing administrative support, tools and knowledge to effectively manage their operations and people.
  • Assist in developing and maintaining report mechanisms and systems that are relevant and easily accessible to the operation; provide training and guidance to the Regional Service Delivery Managers on how to use reporting tools and assist them on resolving day-to-day issues.
  • Work with various departments to gather information/data as needed to generate analysis reports.
  • Gather, prepare, and submit progress reports from the Recurrent Learning Program to the Regional Managers.
  • Prepare weekly reports for the Director of Operations.
  • Act as the regional liaison between the regional operations and the training department.
  • Maintain and compile information training records and other relevant information.
  • Track classroom hours in SITT and reconcile and/or correct said information for CATSA.
  • Distribute CATSA operational procedural changes (SOBs) to all the regional sites.
  • Manage the Director of Operations’ calendar, travel, and expense reporting.
  • Provide ongoing administrative support to the Director of Operations
  • Assist the Health and Safety Advisor on regional matters when needed.
  • Plan and coordinate regional meetings, on or off site, including logistics, and venues.
  • Arrange travel including flights, hotel accommodations and car rentals for all regional staff.
  • Assist IT for regional troubleshooting.
  • Perform general administrative duties as required (filing, photocopying, couriers, office facilities, etc.)
  • Act as back-up for the Regional Coordinator for the Pacific Region.
  • Participate in special projects as needed.
  • Other duties as assigned.

The Ideal Candidate:

Education, experience and skills

  • Minimum two years of administrative experience preferably in aviation security or a federally–regulated organization.  Experience providing administrative support to senior management is highly regarded.
  • Highly organized self-starter with a demonstrated ability to multi-task priorities and assignments
  • Strong interpersonal, communication and conflict resolution skills to deal effectively with multiple stakeholders
  • Sound analytical, problem solving and negotiation skills
  • Working knowledge of relevant security and employment legislation
  • Intermediate to Advanced computer skills particularly with MS Office and Google suite
  • Ability to handle confidential information with professionalism
  • Ability to function with accuracy under heavy workload and deadlines
  • Eligible to obtain and maintain the required appropriate level of Federal and Transport Canada Clearance
  • Ability to work outside of normal business hours
  • Ability to travel within the province and access to own vehicle is an asset.
