Job Introduction:


Responsible for coordinating the proposal development process from the beginning stages to final delivery.  Must be highly organized, self-motivated. Work with internal teams to obtain an understanding of product content. Review inputs from engineers, estimators, sales and ensure it contains readable language, consistent factual statements, and responds to statements of requirements.  Produce high quality documentation the meets applicable standards and is appropriate for its intended audiences.

Role Responsibility:

  • Ability to quickly grasp complex technical concepts and make them easily understandable in text and pictures.
  • Edit and rewrite text as needed
  • Provide proposal development and production support that includes word processing, graphics, formatting, styles, version control, editing, proofing, and final product to client.
  • Review and interpret the RFP, RFI, and prequalification packages.  Analyze the requirements to ensure that our responses are fully compliant with the customer’s requirements.  Preparing Draft Data Sheets, Responsibility Matrices and Schedule.
  • Work with Project leader to finalize the schedule and make personnel assignments to the Responsibility Matrices.  Make distribution of the RFP, RFI, and pre-qualification packages.  Coordinate and submit any questions to the customers.  Distribute answers to the proposal team.
  • Facilitate communications among proposal team (including key subcontractors).
  • Work closely with Proposal Manager to ensure consistency with Technical and Pricing proposals.
  • Produce documentation that complies with requirements, obtain technical information from stakeholders.
  • Leverage existing boilerplate text, where appropriate.
  • Work with Sales, Engineer and Estimators to maintain relevant, high-quality boilerplate text for use in future proposals.
  • Assist in the overall production, packaging and deliver of proposals.
  • Perform quality check of the finished response.

4-year degree from an accredited institution in Engineering, Management, or Business discipline. 4-6 year experience in developing high quality documentation paying attention to detail. Computer literate with experience preferred in Microsoft Word, Microsoft Excel, Microsoft Project, Internet and communications protocols, automated scheduling, and related software. 


Communicates effectively in both oral and written English technical language, both in interpreting requirements and providing reports.  Should possess good customer service abilities along with refined grammar skills.  The position may require a lot of interaction with other departments and field employees and outside calls are frequently fielded and must be handled in a professional manner.


Ability to define problems, collect data, establish facts, and draw valid conclusions.  On occasion the ability to interpret a variety of technical instructions in mathematical or diagram form.


While performing the duties of this job, the incumbent is regularly required to sit; use hand and fingers, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear.  The incumbent is occasionally required to stand for long periods of time.  The incumbent may be required to lift and/or move up to 10 lbs. While performing the duties of this job, the employee regularly works in an office environment.  There is low to moderate noise in this work environment.
