Facilities Management (FM) Supervisor - Soft Services

HMP Oakwood, Nr Wolverhampton

Salary : £22,891.60 per annum

Full-Time (40 hours per week)

The successful candidate will manage the administration and helpdesk team to ensure completion and compliance of all contractual administration tasks providing support to the Service Delivery Manager and Contract Manager. To supervise and operate the cleaning and escorting teams within the environment to ensure that all contractual standards are adhered to.  To cover for the Service Delivery Manager in, their absence and to ensure full management of hard and soft services teams.

The successful candidate will:

  • Receive and monitor all helpdesk calls through Planet FM CAFM system ensuring that the helpdesk is covered at all contractual times.
  • Manage and Supervise the admin and helpdesk team 
  • Update information held on Planet, completing work tasks within timescales and updating information
  • Produce reports from the Planet system as required to provide information for FM team, auditors, and the client 
  • Maintain and update on a live basis the RIO log for site 
  • Ensure that near misses and hazards are reported by all team members
  • Work with procurement to produce local agreement contracts for subcontractors 
  • Arrange customer feedback on all work tasks
  • Maintain central office systems, ensuring that records are accurate and consistent 
  • Manage teamthe in the purchase of materials needed for maintenance and reactive works as well as any office supplies, tools and equipment required 
  • Manage own workload and that of the admin team effectively 
  • Order and keep records of all PPE requirements
  • Understand the contractual requirements and the operational needs of the site.
  • Complete recharge / financial reports to a high standard to submit to client.
  • Resolve invoice queries using our finance systems.
  • Prepare written quotations for customers 
  • To manage quotation process with SDM to ensure adherence to CDM compliance processes 
  • Review of COSHH assessments on an annual basis and to manage the COSHH system
  • Undertake Risk Assessments as required
  • Review the statutory compliance spreadsheet and manage this on a monthly basis.
  • Maintain non-conformity spreadsheet evidencing closure of all actions
  • Manage the cleaning team ensuring they are meeting contractual standards and carry out internal cleaning audits.
  • Manage all escorts to ensure that they meet all standards required and to audit escorting paperwork on a regular basis.
  • Establish good working relationships with other team members


 

 


The Ideal Candidate:

Essential Skills

  • in an FM role including line management
  • Able to work to varying deadlines.
  • Should have excellent verbal and written skills
  • Good organisational skills
  • A good knowledge of finance and accounting systems is  essential and a willingness to attend training courses as and when necessary
  • Educated to GCSE level or higher
  • Strong knowledge of Microsoft Office suite
  • Proactive and resourceful.
  • Qualified in IOSHH Managing Safely
  • Knowledge and understanding of ISO14001, ISO 9001 and OHSAS 18001​

Desirable Skills

  • Working knowledge of CAFM systems
  • Working knowledge of SAP & ARIBA.
