Administrator - Safer Custody

HM Prison & YOI Parc, Bridgend

Salary : £19,610.00 per annum

Full-time (40 hours per week)

We’re bigger, more diverse and involved in more fascinating, cutting-edge projects than many people would imagine and we now have an opportunity for an Administrator - Safer Custody to join our team at HMP Parc, a category B prison, In Bridgend, South Wales, holding over 1038 convicted male adult prisoners and remand / convicted young offenders and young people in a secure but modern environment.

Job Outline

To provide an effective and efficient administration service to the Safer Custody function; to help maintain efficiency and professionalism at HMP & YOI Parc by supporting the department.

Key Responsibilities

  • Provide a full administrative service so that the needs of the Safer Custody and Community Safety functional team are met.
  •   Produce daily, weekly and monthly spreadsheets reporting on statistical information, to include as a minimum production of graphs, pie charts and trend lines via excel spreadsheets
  •   Maintain and update Safer custody databases
  •   Producing written handover briefing documents for outside agencies providing key information for harm reduction
  •   Organise, attend and minute all routine meetings as directed by the Safer custody management team
  •   Attend and minute Harm Reduction case conferences with offenders
  •   Maintain effective work systems ensuring that all correspondence and documentation is dealt with professionally, within set deadlines and that meets audit requirements.
  •   Maintain a secure, effective and confidential filing system
  •   Produce monthly harm reduction newsletters and update staff information in relation to harm reduction
  •   Summary and analysis of exit questionnaires for prisoners
  •   Collation and coordination of court reports where appropriate
  •   Coordinate listeners applications, listener rota and provide support to the Samaritans 
  • Gather, analyse and record data for harm reduction plans

The successful post holder will, by personal example, set standards as a mature and responsible adult who can demonstrate a high degree of cultural sensitivity.
 
Essential skills and knowledge required:
  • Excellent Word, Excel, PowerPoint skills
  • Ability to use outlook Email & Calendar
  • Excellent organisational skills; a detail-oriented approach
  • Previous experience in an administrative role
  • Experience of monitoring service delivery and meeting short term objectives
  • Proactive and enthusiastic approach to work
  • Ability to demonstrate initiative and assertiveness
  • Excellent interpersonal skills
The successful candidate must be proficient in all forms of Word, excel spreadsheets and the production of graphs, trend lines and pie charts in an analytical format
