Job Introduction:

As an Administrative Assistant 1, you will be the first line of contact for external and internal customers has with G4S, therefore should keep a pleasant and professional demeanor and work space.  The Administrative Assistant 1 also provides assistance to the Human Resources Department by performing a set of specific duties as well as others duties as assigned.

Role Responsibility:

Specific Duties and Essential Functions

  • Answer incoming calls, forwarding to appropriate person for action
  • Assist in selection and placement process (e.g., prepare application packets, hire packets, schedule interviews and pre/post-employment training, enter data in the Human Resources Information System [HRIS])
  • Filing and maintenance of non-overhead personnel documents
  • Make copies of printed materials as needed
  • Assist in maintaining office machines
  • Assist with Training and human resources needs
  • Other Administrative office duties as directed; (e.g. ordering/receiving and issuance/maintenance of uniforms. Sort/issue paychecks to employees; I Pay assistance, handling of incoming and outgoing mail, enter and receive equipment/supply orders, etc.)

The Ideal Candidate:

Education, Licenses and Certifications Required

  • Must possess a high school diploma or equivalent
  • Have or have the ability to gain a state of Illinois Permanent Employee Registration Card (PERC)
  • Possess a valid driver’s license if driving a company-owned vehicle

Type and Length of Specific Experience Required

  • Must possess one or more of the following
    • Minimum of one (1) year experience in human resources or personnel administration field
    • Minimum of one (1) year experience in payroll, accounting, or other related field
    • Minimum of one (1) year experience in customer service

  • Proficient computer skills including Microsoft Office
  • Effective oral and written communication skills
  • Active listening skills
  • Ability to assess and evaluate situations effectively
  • Ability to identify critical issues quickly and accurately
  • Attention to detail


  • Must be at least 18 years old or the minimum age required by the state, if higher
  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
  • Must submit to a pre-employment drug test
  • Must submit to an extensive background check, including criminal history, personal references, employment and education verifications, and Department of Motor Vehicle and credit checks if applicable
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment:         Office; minimal to no exposure to extreme temperatures is expected

Major Activity:        Working on PC while sitting

Physical efforts to carry out job duties:  Limited, to include some standing, bending, and limited stretching and reaching
